Public Records Policy

Town of Troy Public Records Policy

The Town of Troy has a public records ordinance which gives the Clerk/Treasurer and its staff discretion to require pre-payment of copies charges and may provide for the depositing of search fees under public record requests.

This policy is subject to the requirements of Wisconsin’s Public Records laws and the Town of Troy’s long standing policy which is consistent with Wisconsin’s Open Government laws to make as much information available to the public as possible, but without subjecting the Town taxpayers with an undue burden to produce such records over and above the minimum requirements of the State Records Law.

Where the Town Board and its office staff has expended substantial efforts for individuals that have requested records but have not retrieved the same, or who have requested information over the phone which otherwise would require charges for retrieval of documents:

That all Town personnel shall require pre-payment to the estimated costs of copying charges and search fees. Search fees shall be computed on the basis of $15.00 per hour expended by any Town officer, custodian, or employee.

That all Town employees or officials shall require a written request for the production of documents before expending office time to do so, unless the request is one that can be satisfied by immediately available records or information. For example, Minute Book.

The following fees will be charged:

Photocopies: $0.25 per page
Faxes:  $1.00 per page
Returned Checks: $20.00
Postage: Actual costs
Search Fees:  $15.00 per hour
Audio Tape: $20.00
